This policy explains how Theia AI s. r. o. processes the personal data you provide to us through this website. We process only what we need to reply to you.

2. What data we process and why

Contact form, email and phone

• Data: name, email address, phone number (optional), selected service and the text of your message.
• Purpose: replying to your enquiry and preparing a quotation.
• Legal basis: Article 6(1)(b) GDPR – steps taken at your request before entering into a contract; if you contact us for another reason, Article 6(1)(f) GDPR – our legitimate interest in replying to your message.

Messages from the form are not stored in the website database; they are delivered to our mailbox only. Providing the data is voluntary, but without it we cannot reply to you.

Protecting the form against misuse

To limit the number of submissions, we create a one-way code (hash) from your IP address and keep it for 10 minutes. Legal basis: Article 6(1)(f) GDPR – our legitimate interest in the security of the website.

Server logs

Our hosting provider may record technical data about visits (IP address, time, browser type) in server logs to ensure security and operation. Legal basis: Article 6(1)(f) GDPR.

3. How long we keep the data

We keep enquiries and related correspondence for as long as needed to handle them, and no longer than one year after our last communication, unless a contract is concluded. If we conclude a contract, we keep the data for the periods required by law (for example, accounting documents for 10 years).

4. Who has access to the data

The data is accessible to the company's managing directors. We use processors only to provide the website and email (hosting and email service providers). We do not sell your data or use it for marketing.

If an email service provider is based outside the EU (for example Google), the transfer takes place on the basis of a European Commission adequacy decision (EU–US Data Privacy Framework) or standard contractual clauses.

5. Visitor statistics and cookies

To see how the website is used, we count visits with the Koko Analytics tool, which runs directly on our server. It stores only aggregated figures – the number of page views, which pages were viewed and from which website visitors came. It does not use cookies, does not store IP addresses or other identifiers and does not create browser fingerprints, so individual visitors cannot be identified. No data is passed to third parties. Legal basis: Article 6(1)(f) GDPR – our legitimate interest in improving the website.

This website does not use analytics or advertising cookies and does not load content from third parties – fonts are stored on our own server. WordPress sets strictly necessary technical cookies only when logging in to the administration.

6. Your rights

You have the right to access your data, to rectification, erasure, restriction of processing and data portability, and the right to object to processing based on legitimate interest. To exercise your rights, write to data@theia.sk.

You also have the right to lodge a complaint with the supervisory authority: Úrad na ochranu osobných údajov Slovenskej republiky, Hraničná 12, 820 07 Bratislava 27, dataprotection.gov.sk.

We do not carry out automated decision-making or profiling.
